Outlook For Mac Send Meeting Update To New Attendees Only

You’ve probably updated a meeting invitation in Outlook before (for example, changing the meeting location, adding or deleting participants, and so forth). But to reduce email clutter, you can stop Outlook from sending unnecessary meeting updates to all your participants. Here’s how to do it.

  • When you invite someone else to a meeting and click on the Send Update button, you will get a prompt asking if you want to send the update to everyone, or just to the added or deleted attendees. You can just Send updates only to added or deleted attendees to avoid flooding everyone else’s inbox with more needless email.
  • If you make a change to a location of a meeting, you may need to employ a workaround to prevent Outlook from automatically sending out an update. The key is to put the software in offline mode. You do this by going to the Send/Receive tab and then clicking Work Offline. Now, head back to the meeting update and make your changes. Outlook will try to send out the update, but because the software is offline, it will be unable to complete the operation. If you head into your outbox, you will see the update message hanging there. If you delete it and then put the software back online, you will have updated your meeting without bothering people with the email updates.

Step 4: In the popping up Send Update to Attendees dialog box, check the option of Send updates only to added or deleted attendees, and click the OK button. Hello, I have a virtual meeting of approx. 400 attendees coming up. I need to send an update to only new attendees that have been added to the meeting. Nothing else has changed, i.e., location, time. The manager creates a recurring meeting and invites user attendees only. The delegate edits one occurrence of the recurring meeting, manually adding the conference room as an attendee. After the delegate sends the update, the conference room automatically accepts the request and sends an Accepted response.

  • To reschedule a meeting in your Outlook calendar, all you need to do is change the timing, and hit 'Send Update.'
  • You can also just drag the meeting to a new slot in your calendar and then confirm the change when asked.
  • You cannot reschedule or change details to a meeting to which you are invited — you can only change meetings you created.

How to reschedule a meeting in your Outlook calendar

1. Open your Outlook calendar, and double-click on the meeting to open its details page.

2. Change the time, date, length, or description within the meeting. It's often helpful to add a note letting attendees know why you're rescheduling — something as simple as 'scheduling conflict, need to move this to next week' will suffice.

3. Hit 'Send Update' and all your attendees will receive a notification alerting them to the adjustment and asking them to accept or deny. If you are merely adding new attendees and not changing timing, you can send the updates only to the newly added parties — a popup will appear asking if you want to only notify new attendees.

Another easy way to change the date of a meeting is to simply drag the meeting from one location on your calendar to another. Click and hold on the meeting, and drag it to a new time slot before clicking to send an update.
